  • How to control who uses each connected account

    Each connected account has two independent settings: who can use the account and where it can be used. That way you can have several numbers and open each one only to the right people and areas.

    Before you start

    • Only the workspace owner and admins who already use the account can change these settings.
    • The owner always has access to every account. Admins and coordinators only see the accounts opened to them.

    Who can use the account

    1. Go to Settings → Connections and open the account detail.
    2. Under Account permissions → Who can use it, check the people who handle this account and click Save people.

    Anyone who is not checked does not see the account anywhere: not in the account center, not in Live Chat, and not in the broadcast or automation pickers.

    Checking a person here is the same as assigning the account to them in the attendants panel (Channel assignment). If you uncheck or unassign in either place, the person leaves the account in both.

    Management access

    Some people show up checked with a Management access label. It is automatic access — for example, the admin who connected the account. These people see and use the account, but they are not its attendants: they don't take part in conversation distribution and don't show up in the attendants panel. To remove the access, uncheck the person.

    Where the account can be used

    In the account detail, under Where the account can be used, turn each area on or off:

    AutomationsThe account doesn't show up in flows and flows don't send messages through it.
    BroadcastThe account doesn't show up for mass and scheduled sends.

    When you turn an area off, Clickmax first shows what will be affected — scheduled broadcasts, active flows and people using the account in chat — and, if you confirm, cancels the schedules, turns off the flows and notifies the people.

    In the account list and in channel assignment, an account with any area turned off shows an alert icon next to its name. Hover it to see what is off.

    Current limits

    • Usage areas apply to WhatsApp, Instagram and Telegram. Email inboxes and the website chat only have the who-can-use setting.
    • Telegram and Instagram webhook logs are visible only to the workspace owner.
