Proposals
Proposals are commercial documents built from a template and then consolidated with the details of a contact or opportunity, producing a frozen document with a public link to send to the client.
Any workspace member with CRM access can create and consolidate proposals: being signed in is enough, no specific role required.
A template and a proposal are different things
- A template is what you build and reuse. It stays in Draft while you edit and becomes Active when it is ready to use — the template list filters by those two states. Templates can also be archived to take them out of circulation.
- When you create a template you choose the format. Today the available format is Slide deck; Document, Invoice, Video and One pager are marked as coming soon.
- A proposal is the result of consolidating a template. It starts as Draft and moves on to Sent, Viewed, Accepted, Rejected or Expired.
You can also start from the library's ready-made templates, which appear alongside your own.
Consolidating fills in the contact's details
When you consolidate, the template is combined with the variables of the chosen contact and opportunity, plus the workspace brand. The variables you placed in the template through the builder's Variables panel are replaced with real values — {{ contact name }}, {{ email }}, {{ phone }}, {{ opportunity title }}, {{ value }} and the brand logo, for example. Custom contact and opportunity fields appear under Custom fields, under their own names. From that point the proposal is frozen: changing the template later does not change a proposal already consolidated.
The brand sets the look
Each workspace has a brand configuration (logo, primary colour, secondary colour and font) used to theme proposals. The brand's look is recorded at the moment of consolidation.
Public link and read receipts
Every consolidated proposal has its own public link — the address itself is the access secret, with no login. The first time the client opens it, the proposal moves to Viewed if it is still in Draft or Sent, so you can see it was opened.

If it didn't work
- Consolidation fails saying the lead or opportunity was not found: the chosen contact or opportunity does not exist, or belongs to another workspace.
- A document-format proposal's public link says the document is not ready: it has not been saved to the template yet.
- The proposal does not move to Viewed: it only advances from Draft or Sent — proposals already Accepted, Rejected or Expired do not go back.
