How to see who created or edited an item
In the platform's lists, the Created by column shows who created each item: the photo and name of the team member, or the channel when nobody on the team created it — Max, Integration, Automation or System. Hover over the name to also see who made the last edit.
Where the column shows up
- Messages: broadcasts on every channel, connected accounts and webchats.
- Marketing: automations, funnels, pages, short links, pixels, packs and projects.
- Sales: products.
- CRM: pipelines, opportunities in list mode, activities, schedules, lists, segments, tags, forms and quizzes, capture links, teams, follow-up cadences, custom objects and their records, custom fields and dashboards.
- My Contacts: the Created by column starts hidden. To show it, turn it on in the table's column picker.
- AI agents: on each agent's card.
In card lists, the author shows in the card footer or info line instead of a column.
What each value means
- A person's photo and name: someone on the team created the item on screen.
- The person's photo with the Max badge in the corner: the person asked Max, and Max created it for them.
- The person's photo with the integration badge (plug) in the corner: the person created it through an integration connected to their account, such as an MCP connection.
- The owner's photo with a clock badge in the corner: the item predates authorship tracking (see below).
- Max: an AI agent created it on its own — for example, the AI SDR opening an opportunity or creating a task.
- Integration: it came through an API key, with no team member behind it.
- Automation: an automation created it — for example, a contact or an opportunity created by a flow step.
- System: the platform created it on its own, without anyone asking — for example, a contact that arrived through a WhatsApp conversation, a form or a purchase.
What counts as an edit
Edited by changes when someone deliberately changes the item: saving, renaming, publishing, activating or pausing, moving an opportunity to another stage, changing a contact field, or running a bulk action. Things the platform updates on its own don't change who edited it: metrics and counters, a broadcast's delivery status, contact score and temperature, channel sync.
Why some items show as created by the owner
For items created before the platform started recording authors, there's no record of who created or edited them. For these items, the column shows the account owner with a clock badge on the corner of the photo, and the hover text says the item predates authorship tracking. It's an attribution, not a record: there's no way to know who actually created them.
Once someone edits one of these items, Edited by shows who edited it.
