How do I record a meeting and keep it on the opportunity?
Recording is done by a Chrome extension. You join the meeting room as usual, click Record, and when the conversation ends the audio shows up on its own in the timeline of the contact and the matching opportunity — nothing to save, rename or attach.
Before you start
- Meeting recording must be turned on in the workspace calendar actions. It ships off, and only an account administrator can turn it on.
- You need Google Chrome.
- The meeting must be scheduled in Clickmax, on your calendar. That is how Clickmax knows which opportunity to file the audio under.
- Today recording works in Google Meet rooms.
Turn recording on for the workspace
Done once, by an account administrator.
- Open Calendar and click Connections.
- Click Actions and turn on Meeting recording.
- Confirm that your company is responsible for telling participants the conversation will be recorded.
While this is off, no recording is accepted — even with the extension installed.
Install and authorize the extension
- Install the Clickmax — Meeting Recording extension in Chrome.
- Open Clickmax and go to Calendar > Connections > Actions.
- Click Connect extension. You authorize once and it lasts 30 days.
- Open the extension and click Allow microphone if the button shows up. Without it, recording captures only the other person's voice.
There is no code to copy and paste. When the authorization is close to expiring the extension warns you — reconnect the same way.
Record the meeting
- Join the meeting room in Chrome.
- Tell the participants the conversation will be recorded.
- Click the extension icon and tick the confirmation that you told them. The Record button only enables after that.
- Click Record. A red bar appears at the top of the room and the extension icon shows a red dot while recording. If the No audio detected warning shows up, fix the sound or the microphone right then — later the conversation is already gone.
- When the conversation ends, click Stop. Do not close the browser while it shows Uploading….
The warning bar appears on your screen, not on the other participants'. Telling everyone on the call is your responsibility — which is why the confirmation is required before recording.
Listen to the recording
- Open the contact or the opportunity.
- In the timeline, find the Meeting recording entry. The title shows the real length of the conversation — for example, Meeting recording (42 min).
- Hit play to listen without leaving the screen.
Anyone without access to the opportunity does not see the recording.
Recording the meeting screen too
By default the recording captures audio only. An account administrator can turn on screen recording in Calendar > Connections > Actions, under Record the screen too — it is deliberately a separate switch from meeting recording.
Worth understanding before turning it on:
- The recording starts capturing the entire meeting screen: cameras, slides, and anything being shared there.
- The file takes about 13 times more space. An hour of conversation goes from ~14 MB to around 180 MB.
- The screen is recorded at 720p and 5 frames per second. Enough to reread a slide or review a demo; not enough for smooth editing.
With the option on, the extension asks you to confirm that the conversation will be recorded with audio and screen, and the button becomes Record with screen. Telling participants is still the recorder's responsibility.
In the timeline, recordings with screen open in a video player; audio-only ones stay in the audio player. Turning the option off later does not change older recordings — each one keeps how it was made.
If the connection drops mid-meeting
The recording is saved on your computer while the conversation is happening, not only at the end. If your connection drops, Chrome closes, or the computer shuts down before the audio is sent, the conversation is not lost.
The upload also starts during the meeting rather than after it: by the time you hit stop, nearly everything is already uploaded and only the last stretch is left. That is why the wait at the end is usually a few seconds, even for long meetings.
When that happens the extension shows Recording waiting to be sent. It retries on its own every time you open Chrome or the extension — once the connection is back, the audio uploads and shows up in the timeline as usual. You do not have to do anything. The retry picks up where it left off: whatever already uploaded during the meeting is not sent again.
Two things worth knowing:
- If your authorization has expired, the recording waits until you reconnect in Calendar > Connections > Actions.
- After many failed attempts the extension gives up, and the meeting is marked as a failed recording instead of staying stuck on "recording" forever.
When the extension does not record
The extension records the conversation audio and your microphone. If you deny microphone access, recording still works — but only with the other person's voice.
