  • How do I manage the sessions of a webinar?

In the webinar's Sessions tab, the New session button is pinned at the top next to the timezone. It opens a modal with the date, the broadcast mode (Video script or live ClickStream), the backup videos and a checklist of what is already ready in the webinar; the start time is pre-filled with now — it can even stay in the past, so the session goes on air immediately. Sessions that have not started yet have Edit and Delete session buttons; the session that is on air shows up in an alert at the top with shortcuts into the room.

Role: any member with access to the workspace.

Create a session for now (or in the past)

    1. Open the webinar and go to the Sessions tab.
    2. Click New session at the top of the tab and choose Single (one date) or Series (several dates at once). For one session per registrant that starts right after sign-up, see How do I make the webinar start right after sign-up?.
    3. The large modal opens with three blocks on the left and the summary on the right:
      • When: for Single, Start already holds today's date and the current time. Leave it to start immediately, or pick another date. For Series, choose the start date, the time, the weekdays and how many sessions to create.
      • How the session goes on air: Video script (the room plays the collection videos in order, as if it were live) or ClickStream (a real live broadcast, straight from the browser).
      • Backup videos: the webinar's collection videos, in order. Click the + square to upload a new video or paste a link without leaving the modal.
    4. Check the Webinar checklist on the right (see below).
    5. Click Create session (or Create live session with ClickStream chosen; Create sessions for a series).

The start can be in the past. If you filled in "now" and took a minute to confirm, the session is born already on air, with the video at the position matching the elapsed time. Only the End must come after the start; leave it blank for the 24-hour default.

    Video script or ClickStream

    ModeWhat the room shows
Video scriptThe video collection in order, one after another. Chat, offer and audience follow the script timing. In the control room you switch videos whenever you want.
ClickStreamYour live broadcast, as soon as you go on stage from the control room. While you're not on air, the room plays the video script. During the live, you switch between the camera and the backup videos whenever you want.

A session created with ClickStream shows in the list with the Live mark and stays open until its end (24-hour default), regardless of the videos' duration. To go live, see How do I broadcast a webinar live from my camera?.

    Broadcast delay (ClickStream)

With ClickStream chosen, the card shows Broadcast delay: how long it takes between you speaking and the audience seeing it.

    OptionWhat viewers get
Low latency (default)The audience sees you a few seconds later, and you can talk with the chat almost in real time. It is more sensitive to weak internet: if your connection or a viewer's fluctuates, the picture may freeze. Viewers who freeze start watching a few seconds further behind, with nothing to do on their side.
Standard latencyAbout 15 seconds of delay, with more room against freezes. A good choice for unstable internet or when the chat does not need an instant reply.

The offer, the pinned message and the quiz you release from the panel wait for that same delay before showing up, so they do not arrive before you speak. The choice applies to the whole session and cannot be changed after it is created. A Video script session that you take live from the control room broadcasts with Low latency.

    Webinar checklist

Before creating, the checklist shows what is already ready in the webinar. Items with Set up open the builder straight at the right step.

    ItemReady when
VideosThere is at least one ready video in the collection. Shows how many and the script duration.
Public linkThe webinar is published. As a draft, the link doesn't open for attendees yet.
OfferThere is at least one active offer. Shows how many and when the first one shows up. Optional.
ChatThere are messages in the chat script. Optional.
HostThe webinar has a host set. Optional.
BroadcastShows when ClickStream is chosen, reminding you to go on stage from the control room.

You can create the session with pending items and adjust later.

Edit a session that has not started

    1. In the list on the Sessions tab, click the session.
    2. In the detail, click Edit.
    3. Adjust Start and, if you want, End. Clearing the end goes back to the 24-hour default from the new start.
    4. Click Save.

The session link stays the same. Anyone already registered stays registered for the same session, now on the new date.

If the new start is already in the past, the session goes on air right away — that is how you start ahead of schedule.

    Delete a session

    1. In the list on the Sessions tab, click the session.
    2. In the detail, click Delete session.
    3. Read the risks listed in the confirmation and click Delete session again.

    The confirmation shows what changes:

    • Registrants lose this date. If the session has registrants, the count is highlighted. When they open the link, they land on the webinar's next available session.
    • The session link stops working immediately. The webinar's general link keeps working.
    • Campaigns, reminders and automations pointing to that date stop making sense. Review them before deleting.
    • Session on air: everyone in the room leaves it immediately.
    • Session that already started or ended: its registrations and attendance stay in the Statistics tab totals; it only leaves the tab and the link.

A ClickStream broadcast on air cannot be deleted: end the broadcast in the control room first.

Deletion cannot be undone from the screen. The session disappears from the tab and from the public link; its registration history stays in the webinar's data.

Find the session that is on air

While a session is on air, a Session live now alert appears at the top of the Sessions tab, above the list, with the time it started and the number of registrants. The alert's buttons are the same as in the session detail:

    ButtonWhat it does
Copy linkCopies this session's link to share.
Open roomOpens the attendee room in a new tab.
Control roomOpens the host panel (see How do I use the control room during a live webinar?).

The session status badge also reads Live while it runs and Ended afterwards — even if the session was created as scheduled.

    Good to know

    • Only a session that has not started can be edited. Once it goes on air (or ends), the Edit button disappears: the date is part of what happened, and for another date you create a new session. Delete session stays available.
    • Just in time sessions (one per registrant) and sessions created by a purchase don't get these buttons — they don't go through the tab.
    • Two sessions at the same time are not accepted, not even when editing: pick another minute.

If something does not go as expected

    • The Edit button doesn't show: the session has already started by the clock. Check the start time and the tab's timezone.
    • "End the broadcast in the control room before deleting the session": the session is a ClickStream broadcast on air. End it in the control room, then delete.
    • "A session already exists at that time": another session of this webinar has exactly the same start. Change the minute.
    • "The end must be after the start": adjust the end or clear the field to use the default.
