  • English
  • How do I ask the AI to look after my company's email inbox?

    Ask in one sentence — "is the sales@ inbox working?", "set Ana from Example Store as the sender name", "change the support@ signature", "bring in the emails from the last 7 days". The AI checks the connected email inbox, changes the sending settings and starts the history import, always with your permissions.

    Before you start:

    • The inbox must already be connected. Connecting, disconnecting and changing the password happen only on the inbox page: the AI never asks for or receives a password.
    • Role: to check an inbox you need to see the Caixa de e-mail resource; to change settings or bring in history you need its Manage permission. See Permissions by role.
    • The AI only sees the inboxes you can use (Account permissions → Who can use it). The Owner sees all of them.
    • To use your own AI instead of Max, see Connect your AI to Clickmax (MCP).

    1. Ask whether the inbox is syncing

    "Is the sales@ inbox working?" The AI answers with the same state as the inbox page: Connected, with the time of the last sync, or Failing since a date, with the reason in plain words and what to do:

    • Password refused: create an app password with your email provider and use Update credentials on the inbox page.
    • Secure connection (TLS) failing: the port and the secure-connection option do not match; fix them in Update credentials.
    • Server not found or down: check the server; if it is right, your provider may be having an outage.

    With several inboxes, say which one (by address) or ask "how are my email inboxes?".

    2. Ask to change the sender name, the signature or the Sent folder

    Say only what you want to change: "set Ana from Example Store as the sender name of sales@". Anything you do not mention stays as it is. To remove the name or the signature, ask "remove the support@ signature".

    • Sender name: up to 120 characters, no line breaks.
    • Signature: added at the end of every reply sent from the inbox. It accepts the message field formatting (*bold*, _italic_, lines starting with - become a list, links) and a logo by image address, which must start with https://. To see how it looks first, use See preview on the inbox page.
    • Sync the Sent folder: what the team sends from webmail or the phone to a contact who already has a conversation in that inbox shows up in the conversation; replies sent through Clickmax are also kept in the Sent folder (Gmail and Outlook already keep them on their own). It only applies from the moment you turn it on.

    Changes apply to the next emails sent.

    3. Ask to bring in the recent history

    "Bring in the last 30 days of emails from sales@." Choose 7 or 30 days. The AI shows what will happen and waits for your yes, because the import:

    • can be done only once per inbox — afterwards it cannot be repeated or switched from 7 to 30 days;
    • creates contacts and conversations for senders who did not have one yet;
    • brings only received emails (not the Sent folder), with their original date;
    • does not trigger automations or notifications, does not count as unread and does not make the AI reply; a closed conversation stays closed;
    • leaves out newsletters, no-reply, automatic replies and emails already in your conversations.

    It runs in the background, a little at a time. Ask "how is the sales@ import going?" to see how many emails were read. If the inbox never synced, the AI asks you to fix the connection first: importing like that would bring nothing and use up the only chance.

    If it didn't work

    • The AI cannot find the inbox: it only sees the inboxes you can use. Ask the Owner to add you to Who can use it on the inbox page.
    • The AI says it cannot change settings or import: you are missing the Manage permission of Caixa de e-mail.
    • The import was refused: it was already done for that inbox. It cannot be repeated.
    • The signature logo was refused: the image address must start with https://.
    • The sender name was refused: remove line breaks and special control characters.
