  • How do I record what happened in a scheduled meeting?

Open the opportunity and click the meeting row in the Focus list: the panel switches to the Meeting tab, with everything about it and the outcome actions in a fixed footer bar.

By default the Focus list shows open appointments and the tasks. View all, on the right edge of the section title, also expands the closed appointments — completed, cancelled and no-show, newest first — so you can review (and reopen, if needed) a past meeting without leaving the panel; View less collapses it back.

    Before you start

    • Role: inside an opportunity you can see, the Focus list shows the meetings of everyone who shares a pipeline with you — and you can give an outcome to them. Outside the opportunity, on the Service agenda, the cut is still your own. Check what each role covers in the permissions table.
    • The meeting must be open (scheduled or confirmed). A meeting already completed, cancelled or marked as no-show only shows the Reopen button.

Give the outcome from the opportunity

    1. Open the opportunity — from the card on the pipeline, or from its direct link.
    2. In the Focus list, find the meeting.
    3. Click the meeting row. The panel switches to the Meeting tab — the same switch a task row makes to the Task tab, without leaving the drawer.
    4. Pick one of the actions in the footer bar:
    ActionWhat it does
Mark as confirmedSignals the meeting is still on. Clicking it again undoes the confirmation. It does not close the pending item — see Confirmed is not the same as completed below.
RescheduleOpens the scheduling window to pick a new time. See edit a task for what else you can change there.
No-showRecords that the lead missed the meeting that was on. Leaves the queue of pending items.
Cancel meetingCancels the meeting — asks for a reason before confirming. See the difference from "No-show" below.
Meeting happenedRecords that the meeting took place. Leaves the queue of pending items.

The same actions show up in the appointment detail panel of the attendance agenda. They are the same actions in both places — only how you get to them changes.

    What the Meeting tab shows

Beyond the actions, the tab carries the whole meeting: owner, time and duration, type, linked opportunity, attendee, meeting room (the link, which you can read, copy and open) and attachment. Notes save on their own as you type — that is where the record of what was discussed lives.

The room stays visible even after the outcome — the "Join room" button disappears once the meeting is completed, cancelled or a no-show, but the link stays on its row, for when you need to get it back after the meeting.

Time, room, guests and recurrence stay behind the Edit button, which opens the scheduling window: those fields depend on each other and have no row-by-row equivalent.

Click Opportunity, the tab next to it, to go back to the deal without closing the panel.

    Reopen an outcome

A meeting marked as completed, no-show or cancelled shows only the Reopen button. Reopening brings the meeting back to scheduled and clears the previous outcome — use it when the record was a mistake.

No-show is not the same as cancelled

Cancel meeting says the meeting is not going to happen, and you must state a reason. No-show is different — the meeting was still on, and it was the lead who missed it. Use "No-show" when it makes sense to resume prospecting with that lead; use "Cancel meeting" when the meeting itself was called off.

Confirmed is not the same as completed

Confirming only signals the meeting is still on — it stays pending. Once the scheduled time passes, it still shows up as overdue in the list, even if confirmed. Only Meeting happened, No-show and a cancelled meeting leave the queue of pending items.

The outcome is recorded in the history

Every state change of the meeting — booked, rescheduled, confirmed, held, no-show and cancelled — goes into the opportunity history, with date and time. You can reconstruct what happened with the lead without relying on anyone's memory.

The same goes for the no-show the system records on its own: it shows up in the history like any other outcome.

    If it didn't work

    • The outcome actions do not show up, or the row does not react to your click: you lack permission to act on that meeting — check the attendance scope and the permissions table.
    • Cancel meeting does not confirm: the reason is required — write something in the field before confirming.
    • Any other error while saving: see the error codes.
