  • How do I ask Max to organize the files in my Drive?

Write what you want in one sentence — "find the 2026 budget spreadsheet", "create the folder Campaigns 2026 in the Marketing space", "share this folder with Ana as Editor", "restore the file I deleted yesterday". Max searches, creates, moves, shares and restores for you, always with your own permissions in the Drive, and asks for your approval before actions that expose files or delete them for good.

    Before you start:

    • The Drive is being rolled out. If Drive does not show in your menu, contact support.
    • What Max can do depends on your role in each space (Viewer, Commenter, Editor or Owner) and your role in the workspace. With the Viewer role it can only find and show things; creating folders, moving, sharing or deleting requires Editor or Owner. The full table is in What is the workspace Drive?.
    • To use your own AI instead of Max, see Connect your AI to Clickmax (MCP).

    1. Ask it to find a file

Give the name (or part of it) and, if you know it, the type, the space or the period: "find the PDFs Carla sent in September". Max searches by name across everything you can see — your spaces and what was shared with you — and answers with the path of each item (Space / Folder / Subfolder). It does not read file contents.

You can also ask for "what I opened last", "my favorites" or "what was shared with me".

To see what a teammate has in the Drive, ask "what does Ana have in the Drive?". Max shows her workspace role, since when she has been on the team, how many files and folders she created and how much space they take, the team spaces she is in (with her role in each) and her most recent files. The numbers count only what you can also see: her "My drive" and the spaces you are not in are left out.

    2. Ask it to create folders and spaces

Say where to create it: "in the Marketing space, create the folder Campaigns 2026 with one subfolder per month". Max builds the structure from the top down and shows the path of every folder it created. For a new space, give the name and, if you like, a color: "create the Finance space". Whoever creates a space becomes its Owner; nobody else gets in until you ask.

In a space linked to Google Drive, the folder is created first in the connected Google Drive account and only then shows up in Clickmax. If Google refuses, nothing is created. Max checks the space connection first: with Google Drive · read-only or Google Drive · connection lost, it tells you that whoever connected Google must reconnect (with write access) on the Drive screen instead of trying to create.

To reorganize, ask to rename or move: "move the Store X contract into the Contracts folder". Moving only works inside the same space — Max does not copy items or take them from one space to another.

    3. Ask it to share

Name the item, the person and the role: "share the Campaigns 2026 folder with Ana as Commenter". Rules that apply here:

    • The person must belong to the workspace. There is no public link.
    • Sharing a folder covers everything inside it, including files uploaded later.
    • To give access to a whole space, ask to add the person as a member of the space — only the space Owner can do that.
    • The person's workspace role is still the ceiling: someone who can only read in the workspace does not become an Editor in the Drive.
    • To check, ask "who has access to this folder?". To remove, "remove Ana's access to the folder".

Max always asks for your approval before sharing or changing someone's role in a space. Check the item, the person and the role on the card before approving.

    4. Ask it to restore from the trash

"Restore the file Final-proposal.pdf" or "what is in the trash?". Max lists what was deleted, who deleted it and when the item disappears for good (30 days later). When restoring, the item goes back to its original folder; if that folder was deleted too, it goes to the root of the space and Max tells you. A restored folder brings back everything that was in it. See also How do I restore a file from the Drive trash?.

Sending something to the trash does not free up space: the item keeps counting toward storage until it is deleted for good.

    5. Ask it to free up space carefully

Ask "how much storage am I using?" — Max shows the total in use, what is in the trash and the categories. To free space it can permanently delete an item from the trash or empty the trash. Both are irreversible and need your approval; in a space linked to Google Drive, the file is also removed from the connected Google Drive account. Deleting a whole space also needs approval and cannot be undone.

What Max does not do in the Drive

    • Upload files, or open and read their content: uploading is done on the Drive screen. It can generate a temporary download link just for you.
    • Create a public link or share with people outside the workspace.
    • Copy or move items between spaces, or restore a deleted space.
    • Rename, move or delete the files in the Platform folder: they belong to the originating area.
    • Connect or reconnect your Google account: that is not done from the chat. With the account already connected, Max can link an empty space to Google Drive; the link cannot be undone.

    If it did not work

    • Max says you do not have permission: your role in the space does not cover the action. Ask a space Owner to adjust your role — see Permissions by role.
    • Max cannot find an item: it only sees what your role allows, and the search is by name. Try another part of the name or the space where it should be; items in the trash do not show up in search.
    • Creating or renaming failed: names cannot contain slashes (/ or \), two dots in a row (..) or start with a dot, and go up to 200 characters.
    • Creating a folder in a space linked to Google Drive failed: the connection is read-only or was lost. Whoever connected Google must reconnect, with write access, on the Drive screen.
    • Sharing failed: confirm the person belongs to the workspace and the item is not in the trash. Spaces linked to Google Drive do not share through the Drive.
    • A file shows as unavailable: the link to Google Drive was lost (authorization revoked or file removed there). It stays in the list and nothing is deleted — the space Owner needs to reconnect.
    • An action was blocked by an error: see the Error codes.
