How do I react automatically to what a viewer does in the webinar?
Use the webinar's Automations tab. You create a trigger (for example, "When they watch 50%") and hang as many actions off it as you want — send an email, apply a tag, notify your team. Clickmax creates and maintains each automation underneath; you never build the flow by hand.
Role: any member with access to the workspace.
Before you start
- A webinar already created, with a video attached.
- For the pitch and offer moments, the webinar offer must have its start times configured — that is what defines when each moment happens in the video.
- To send a message, have the matching channel active in Messaging.
Step by step

Open the webinar and click the Automations tab, next to Configurações (settings).

Click Novo gatilho (new trigger). A window opens with one card per moment — click the card you want, then Adicionar gatilho (add trigger):

The trigger appears in the list with no actions yet. Click Adicionar ação (add action). A two-step window opens — in the first step, click the action's card and then Continuar (continue):
- Email — subject and message.
- WhatsApp — approved template and number.
- SMS — message.
- Apply tag — one or more tags to mark the contact.
- Internal notification — title and body of the alert for your team.

In the second step, fill in the action's content. Quando acontecer (when it happens) already carries the group's trigger, and you can change it here to move the action to another moment.

If the trigger is When they watch X%, select the percentage under Quanto assistiu.

Optional: fill in Esperar antes de executar (minutos) (wait, in minutes). With
0it acts immediately. -
Click Salvar automação (save). To pick a different action without leaving the window, click Voltar (back).
The action appears inside the trigger, with its own on/off switch. It starts switched off when content is still missing (an email without a subject, for instance): fill in what is missing, then switch it on.
How to send the room access link in the message
When writing the email or SMS, open the editor's variables menu and insert Registrant access link (under the Webinar section). At send time the variable becomes that registrant's individual link: whoever clicks enters the room already identified, straight into the right session, without filling the form again.
- The link is personal and per session — each registrant gets their own, pointing to the session they registered for.
- The link expires in 30 days. Opening an expired link shows no error: the room simply asks for identification again.
- If the registrant's session has already ended by the time they click, the link takes them to the next session of the webinar — or, when none is scheduled, to the room with the "no session scheduled" notice.
- On WhatsApp, use the variable when mapping the approved template's parameters: type
{{webinarMagicLink}}in the parameter field that should receive the link. - The same variable shows up in the Automations builder when all of the flow's triggers are webinar triggers (registration, room join, watch percentage, pitch, offer).
One trigger, many actions
The same moment can fire as many actions as you like. "When they reach the pitch" can send an email and apply a tag at the same time — two actions inside one trigger, each switching on, off and deleting independently.
A trigger only exists while it has an action: a freshly created, still-empty trigger disappears if you leave the screen without adding anything.
Percentages count as separate triggers: 25% and 50% are two distinct triggers, each with its own actions.
Who does not trigger
The automation acts on the contact, so it only fires when Clickmax knows who the person is:
- Viewers who watch without registering (anonymous viewers) trigger nothing.
- Someone who registers with a phone number only does not trigger the registration automation, because the contact is created right after. The later moments (joining, watching X%, offer) work normally.
To make sure everyone enters your automations, ask for an email on the registration form.
Edit, pause and delete
- Pause — switch the action off. It stops firing and resumes when you switch it back on. The other actions on the same trigger are untouched.
- Edit — click Editar. The same window opens straight on the action's setup; use Voltar (back) if you want a different action. Note: editing resets that action's execution counters. Editing also does not switch a paused action back on.
- Delete one action — click the ✕ on its row. It stops firing immediately, including for anyone already waiting out the configured delay.
- Delete the whole trigger — click the trigger's bin. Every action under it goes too, along with each one's execution history.
Deleting the webinar switches off all of its automations at once.
Where these automations show up
They are also visible in Automations, in the general list, marked as managed by the webinar — use the Type → Webinar-managed filter to find them. There the on/off switch is locked: the webinar's Automations tab is what controls it.
You can open that automation's flow in the builder to see what it does and follow its executions. If you edit the flow there, the webinar stops recognising the configuration: the automation shows as Editada no construtor (edited in the builder), loses its Editar button and can no longer be switched on from the Automations tab. To get the form back, delete the automation and create it again.
Why didn't my automation fire?
- The automation is off. Check the switch in the list.
- Content is missing. An automation with no message (or no template, on WhatsApp) will not switch on.
- The viewer has no contact. See Who does not trigger.
- The moment does not exist in this webinar. Pitch and offer only happen if their times are set on the webinar offer.
- The percentage was not reached. The percentage tracks how much of the video the person has already watched, and never goes back: if they rewind, the automation does not fire again.
