When to use a List and when to use a Segment
Use a list when you want a fixed group of contacts, chosen by you, that does not change on its own. Use a segment when you want a group that keeps itself up to date from a filter — every contact that starts matching the rules joins, and anyone who stops matching leaves.
Before you start
- A workspace role with CRM access. Guest and Attendant (without the coordinator subrole) can see lists and segments but cannot create or edit them.
- Contacts in lists and segments count towards your plan's contact limit.
The difference: who decides membership
What separates the two is who controls who is in the group.
- In a list, you control it. Membership is manual: you add and remove contacts. Nobody joins or leaves without an action from you. It is a snapshot frozen in time.
- In a segment, the filter controls it. You define the rules (tag, source, date and so on) and the system keeps membership current. The group is alive: it changes as your contacts change.
Why the difference matters
If you export or run an automation against a segment, you are targeting whoever matches the filter at that moment — the audience may have grown or shrunk since you last looked. That is exactly what you want for "every lead with no purchase in the last 30 days": the line moves with time.
If you need a group that cannot change once created — the exact participants of one specific campaign, say — use a list. It preserves membership as it was when you built it.
A bulk action on a segment applies to whoever matches the filter the instant you run it. Nothing to refresh by hand: choose a list when you want stability, and a segment when you want automatic updates.
How to choose
- Curating the group by hand, and it should stay as it is? List.
- Want the group to stay current from rules? Segment.
- Need to freeze a segment at one moment to act on that exact set? Build a list from it — that locks in the current membership.
