How do I follow the team's meetings happening right now?
In Commercial → Live desk you see the team's meetings for today, who is inside each Clickmax Meet room and what needs you, such as a client waiting alone. Click a meeting and the side panel lets you join it, hand it to someone else or invite someone by email.
Before you start
- You need access to the schedule. People who see the whole team's schedule see every meeting. People who only see their own schedule see only their own meetings.
- Who is inside each room only shows for meetings you have access to. For the others you see the time, not the presence.
- Changing the owner and inviting require permission to edit the schedule. Without it, the panel shows the meeting for following only.
- Room presence only exists for Clickmax Meet meetings. A meeting with another service's link shows as External link.
Understand the screen
The screen refreshes on its own every few seconds. At the top, four numbers sum up the moment: In a meeting now, Needs you, In the next hour and Free now.
- Happening now: one card per meeting in progress, with who is in the room, who left and how long ago. The ones that need you come first, with a red border.
- Team's schedule today: one row per owner, from 3 hours before to 3 hours after now. The red line is now. Click a block to open the meeting in the panel.
- Coming up: meetings in the next 2 hours and whether the owner is free.
- Team: who is free, who is in a meeting, each person's next one and how many meetings are done today.
Use the Needs you filter at the top to see only what needs action.
What each status means
The owner counts as in the room when they join signed in to ClickMax, even through the link sent to the client. Someone who joins more than once (another tab or device) shows up only once.
Owner didn't join, Client alone, Client didn't show and Owner in another meeting count toward Needs you.
Join the meeting
- Open Commercial and click Live desk.
- Click the meeting card in Happening now, or a block in Team's schedule today.
- In the side panel, click Join meeting.
The room opens in a new tab. In Clickmax Meet, team members join as hosts, without waiting in the lobby.
Watch meetings without joining (camera mode)
Camera mode shows the video of every Clickmax Meet meeting happening now, side by side. You watch without joining: nobody in the room sees you, hears you or knows you're watching, and you don't show up in the participant list.
To use it, you need to see the whole team's meetings (the same permission that lets you see everyone's recordings).
- Open Commercial and click Live desk.
- At the top, click Camera mode.
- Each meeting shows in a frame with the client's and the owner's names. Sound starts off: click the speaker on a frame to listen to that room. Only one room plays at a time.
- When someone shares their screen, it shows large in the frame with the cameras below. Hover a screen or camera and click the pin to pin it: it stays in focus and the meeting takes the full width. Click again to unpin.
- To go back, click Back to the desk.
In camera mode you can't talk, turn on your camera or write in the chat. To take part, use Join the meeting in the panel. A frame disappears on its own when the meeting ends. Meetings with another service's link don't show in camera mode.
Hand the meeting to someone else
- Select the meeting in the Live desk.
- In Owner and guests, the current owner shows at the top with their photo. Pick the person in Hand the meeting to (type a name to filter the list). Each name shows whether the person is free or in a meeting.
- Click Change.
The meeting and the calendar invite move to the chosen person, even outside their availability hours. The client keeps using the same link.
Invite someone by email
- Select the meeting in the Live desk.
- In Invite by email, type the email and click Invite.
The invite goes by email with the event to add to their calendar, and the email joins the meeting's Guests list.
If it didn't work
- Presence takes a while to change → joins and exits arrive within a few seconds, and the screen refreshes itself every 10 seconds.
- It shows No room access → you can see this person's schedule, but not their meetings. Ask whoever manages permissions.
- The change and invite fields don't show → you're missing permission to edit the schedule.
- I can't change or invite on an ended meeting → the panel locks both actions once the meeting is over.
- The Camera mode button doesn't show → you're missing permission to see the whole team's meetings.
- A frame shows Couldn't watch this room → the meeting may have just ended. Click Try again.
