How do I book more than one meeting at the same time for the same rep?
On a team or specific-attendant schedule, turn on Enable overbooking and fill in Meetings per attendant at the same time. With 3, for example, each attendant can take up to 3 meetings from this schedule in the same slot — useful when some leads don't show up and you want to make up for no-shows. The slot only leaves the booking link once every attendant available in it has reached the limit (on a specific-attendant schedule, once that person has).
Before you start
- The schedule must be set to Team (round-robin) or Specific attendant with its public link turned on (Commercial → Scheduling → Agendas → edit the schedule → General).
- With overbooking off (the default), each person takes one meeting per slot.
- Group call schedules don't show the option: there, Seats per session is the limit.
1. Set the per-slot limit
- Open the schedule and go to the Availability tab.
- In the Limits section, turn on Enable overbooking.
- In Meetings per attendant at the same time, enter a number from 2 to 20.
- Save.
To go back to one meeting per slot, turn off Enable overbooking and save.
To know how many bookings a slot takes, multiply by the number of free attendants in it. With 12 free reps and 3 per person, the slot takes up to 36 meetings.
2. How the rotation assigns
- Each new meeting goes to an attendant who still has room in that slot, following the team's usual rotation rules.
- The limit also applies when your team books from inside the CRM on this schedule.
- On a Specific attendant schedule there is no distribution: every meeting in the slot goes to the same person, up to the limit.
- The other limits still apply: Max bookings per day and Max per day per attendant count every meeting, including the ones in the same slot.
What still blocks the slot
The limit only stacks meetings from this schedule. These still take the attendant's whole slot, as always:
- meetings from other schedules or booked manually for them;
- group call sessions they host;
- events from their connected Google Calendar. A meeting from this schedule that shows up in the attendant's Google Calendar is not counted twice.
