What is the workspace Drive?
The Drive is where your team stores and shares files inside Clickmax: creatives, spreadsheets, contracts, the brand kit. Each workspace has its own Drive, with its own storage quota, and each person has a personal folder (My drive) plus the team spaces they belong to.
Role and availability
- The Drive is being rolled out. If Drive is not in your menu, contact support.
- Inside the Drive, what you can do depends on your role in each space (below). Your workspace role still applies: it is the ceiling — nobody gets more in the Drive than they already have in the workspace. See Roles and permissions.
- The workspace owner sees every space and folder, including the ones nobody shared with them.
How the Drive is organized
- My drive — your personal folder. Only you see what is here, until you share an item.
- Team spaces — top-level folders with their own members and roles (Marketing, Sales, Finance…). Whoever is in the space sees everything inside it.
- Shared with me — what other people shared with you, from any space.
- Recent and Favorites — shortcuts to what you opened last and to what you starred.
- Trash — what was deleted in the last 30 days.
- Platform — a special folder with the files other Clickmax areas already keep for you (page images, form attachments, message media). You can view, download and copy them into a folder of yours, but not edit or delete them here: the originating area stays in charge of them.
- Two folders inside it are the media library of pages and emails: Page assets and Email images. Files in them get a public link, the one that goes into the published page or email — open the file's Details to see and copy it. This also applies to their subfolders, at any depth: these folders show a Public badge next to the name, so nobody uploads there something that must not be open on the internet. Whoever can edit pages uploads and organizes Page assets; whoever can edit broadcasts, automations or message templates does the same in Email images — even without access to the rest of the Drive. Everyone else only views them.
- A file never leaves the library it was uploaded to, because its link is already in use on pages and emails.
- In Page assets each project has its own folder, named after the project. It is where the page editor's image picker opens, what Project files shows and where the promotional materials released to affiliates come from. That folder cannot be renamed or deleted; create any subfolders you want inside it.
- Each file has an alt text, editable in Details or in the picker. It goes along when the image is placed on a page or in an email.
- The page editor's former media library was moved here with the same folders, alt texts and links: no published page or email needs to be redone.
The four roles
A role is set per space and applies to every folder inside it. A folder can restrict access to fewer people, but cannot expand the role of someone who is already a member.
Whoever creates a space starts as its Owner. To set roles and share a folder, see How do I share a folder and set roles?.
On the space page, the Members button (or the avatars next to it) shows who is in the space and with which role; the Owner invites, changes roles and removes people right there.
Hover the name of whoever uploaded a file (Owner column) to see the person card: workspace role, how many of their files and folders you can see, their latest uploads and the spaces you share. The numbers only count what you have access to. See all files opens the search filtered by that person.
Sharing is per person
There are no public links in the Drive: a file or folder only opens for people added by name or email, with a role. Copy link copies the item’s address inside Clickmax — someone without access lands on a "no access" screen, not on the file. To expose a file on the internet (an image on a page, for example), put it in Page assets or Email images: when you pick a file from another folder, Clickmax adds a copy there and the original stays private.
Trash and quota
- Deleting an item sends it to the Trash. It stays there for 30 days and is then permanently deleted, without warning.
- While in the trash, the item still counts toward the workspace quota. To free up space now, use Empty trash or Delete permanently on the item.
- Restoring returns the item to its original folder — see How do I restore a file from the trash?.
Storage
The Storage card (on the Drive home) shows how much of the plan quota is in use, split into five categories:
- Creatives (images and videos)
- Documents and spreadsheets
- Sales pages and assets — includes page images and product deliverables shown in the Platform folder
- Contracts and invoices — proposals and opportunity attachments, also in the Platform folder
- Other
The Drive warns before blocking: from 80% of the quota it shows You have used {percent}% of your storage, and from 95% the warning is highlighted. Items in the trash keep counting until they are permanently deleted. With the quota full, new uploads are refused with Storage full: free up space or manage your plan — and, when you try, {size} more needed for this upload to fit says exactly how much to free. Manage plan takes you to your plan.
Google Drive
Each space can be linked to a Google Drive folder of the team, so files show up in both places. The connection is made by a space Owner, with their own Google account, and applies to that space only — another space needs its own connection. If Google revokes the authorization (password change, elapsed time, app removed from the Google account), the space shows a warning and the Owner has to reconnect and consent again; until then the Drive keeps working with the files already in Clickmax.
Spaces linked to Google Drive show the Google logo over the folder, in the menu and in the spaces list. The dot on the logo's corner shows the connection: green is syncing, yellow is read-only (you can open and download, but not upload; reconnect granting write access) and red means the connection dropped and has to be redone. Hover the icon to read the state.
