  • Which automation message is the opportunity contact on?

    Open the opportunity and go to the Automations tab. It lists the automations that send messages and that the opportunity's contact went through. Each automation shows the flow's full sequence of messages. For each message you see whether it has been sent, how delivery went and, for the ones still pending, when it is expected to go out. The broadcasts the contact received are in the same list, newest first.

    Before you start

    • Permission: automations appear for people who can view the workspace's automations, and broadcasts for people who can view broadcasts. People with neither permission don't see the tab.
    • Which automations are listed: only automations that send messages (WhatsApp, email, SMS, Telegram, voice or Instagram) and that actually ran for the contact. Runs started with the editor's Test button are not listed.
    • Up to 50 runs and 50 broadcasts: the tab shows the 50 most recent runs and the 50 most recent broadcasts. When there are more, you see Showing the 50 most recent runs. or Showing the 50 most recent broadcasts.
    • Several contacts: if the opportunity has more than one contact, the tab shows the automations of all of them. Use the All contacts selector to see a single contact.

    The top of the tab

    The numbers at the top add up every listed automation and broadcast: In progress, Sent, Delivered, Read and Failed. The In progress filter hides automations that have already ended and broadcasts that have already gone out.

    Each automation card

    The header shows:

    • the automation name and the run status;
    • how many messages have been sent, for example 3 of 7 messages;
    • a bar with one segment per message, colored by delivery;
    • when the automation started for the contact.

    When the automation is waiting for a scheduled time, Next message shows when it moves again. When it is stopped waiting for the contact to reply, you see Waiting for a reply on message N.

    Automation statusMeaning
    QueuedIt will run its next step in a moment.
    On holdIt is in a wait and resumes at the time shown.
    WaitingIt is stopped waiting for a reply or an interaction from the contact.
    FinishedIt reached the end of the flow.
    FailedIt stopped because of an error. The error appears right below the header.
    CanceledIt was interrupted before the end.

    The message list

    Click the card to open the message list, in flow order. Each row shows the channel, the beginning of the text (or the subject, for email) and the wait configured before it, for example after 1d. Hover When or Delivery to see the time of each stage: queued, sent, delivered, read and click.

    DeliveryMeaning
    Queued / SendingThe message is still going out.
    SentIt left, but the channel has not confirmed delivery yet.
    DeliveredThe channel confirmed it reached the contact.
    ReadThe contact opened the message.
    FailedIt did not arrive. The reason appears below the message text.
    ExecutedThe flow went through the send step, but there is no delivery record to show.
    NextIt is the next message to go out. The time is marked exp.
    ScheduledIt comes after the next one. A time with ≈ is an estimate that adds up the flow's waits.
    Not reachedThe contact took another path of the flow, or the automation ended first.

    Messages on paths the contact did not take are hidden at the bottom of the card. Use Show to see them.

    The ≈ estimate only appears when the waits are by time, for example "wait 1 day". A wait tied to a date, such as an appointment or a contact date field, stops the estimate.

    The tab refreshes every 30 seconds while an automation is in progress. To open the flow in the editor, use Open automation at the bottom of the card.

    Broadcasts

    Each broadcast that reached the contact appears as a card with the Broadcast badge. It shows the broadcast name, the channel, the subject (for email) or the start of the text, when it went out, and the delivery, with the same statuses as the table above. Hover over the delivery to see the time of each stage. To see the full broadcast report, use Open broadcast.

    Only broadcasts sent from the broadcast tool are listed. Clickmax's own emails, such as password recovery or purchase receipts, don't appear in the tab.
