How do I ask the AI to create and fill CRM objects, like Properties or Contracts?
Describe what your business tracks and what you want to do ("I want to register my properties and link each one to the interested contacts", "add contract 123 for Ana", "which 3-bedroom properties are still available?"). Max reads the objects, fields and relations that already exist in the account before proposing or creating anything.
Before you start:
- Custom objects must be enabled for your account. If they are not, Max tells you.
- Max follows your role's Custom objects permissions: creating objects and relations needs Configure; adding and editing records needs Create and Edit; deleting needs Delete. With Own access you only see and change the records you are responsible for.
1. Ask for an object
Say what you want to register and how it relates to contacts, opportunities, companies or other objects. Max proposes:
- the singular and plural names, the word gender, the icon and the color;
- the title field, which names each record (e.g. Address, Plate, Contract number);
- the first fields, with the type of each;
- each relation, in a plain sentence, with how many fit on each side ("each contract belongs to 1 contact; a contact can have many contracts").
Confirm or adjust, and Max creates everything. Later you can ask for more fields, rename the object or switch the title field.
Two things to know:
- The object's API name comes from the plural name and never changes, even if you rename the object.
- How many records fit on each side of a relation can't change once it has links. Think it through before confirming.
2. Ask to add and link records
Give the record data and what it links to ("add the property 120 Flower Street, 3 bedrooms, and link it to Ana as interested"). Max creates the record with its values and links in one go.
- Only the title field is required to save. Other fields marked as required are enforced on screen, so give the data you have.
- In 1 → many relations, linking a new item may replace the previous link or move the item from another record. Max warns you before that happens.
- To fix data, ask for the change ("property 120 now has 4 bedrooms"). Changing the title field renames the record.
- You can also ask to change the responsible person, unlink an item or write a note in the record History.
3. Ask about your records
Ask the way you would ask a colleague:
- "Which 3-bedroom properties are still available?"
- "Which contracts expire this month?"
- "What happened to vehicle ABC1D23?" — Max reads the record History.
- "How many contacts have at least one property of interest above R$ 500k?" — Max measures the audience with the contact filter by object, the same as filtering contacts by the records linked to them.
The quick name search only looks at the title field. For other fields, Max builds a filter.
4. Ask for bulk changes and saved views
- Bulk: "mark every property on X Street as sold", "assign all contracts without a responsible to Bruno". Max counts the affected records first and asks you to confirm. Large selections run in the background and Max follows them until they finish.
- Saved views: "save a Kanban view of properties by status". The view is available to the whole workspace.
Actions that delete — deleting records, deleting a relation (with all its links), deleting a view or a note — and bulk changes ask for your confirmation first. Deleted records can't be recovered. Objects are never deleted, only archived.

If it didn't work
- Max says it can't find the object or record: the feature is not enabled, the object is archived, or your access is Own and the record has another responsible person.
- Max can't create an object or relation: your role doesn't have Configure in Custom objects.
- An old link disappeared after linking another: the relation is 1 → many and the new link replaced the previous one. Ask Max to link it again if needed.
- Changing how many fit on each side of a relation was refused: the relation already has links. Remove the links or create a new relation.
