Move the opportunity when a meeting is booked
The Passage trigger automation moves the opportunity into the stage when an event happens — and Meeting booked is one of those events. Set it on your meeting stage and, as soon as the contact picks a time, their opportunity leaves wherever it was and lands there, with nobody dragging a card.
The trigger moves a card that already exists — it doesn't create one. If the contact has no opportunity in that pipeline, nothing happens.
Before you start
- Workspace role: owner, admin, editor, or an agent with the coordinator subrole. Without one of those Clickmax refuses to save the automation. See what each role can do in the permissions table.
- A pipeline with the stage that will receive the opportunities — for example Meeting booked. If you don't have one yet, start with Build your first pipeline.
- A published schedule, so there are meetings to book.
Steps
- Open the pipeline on the opportunities board and click Automations.
- On the stage that should receive the opportunities, click Create automation.
- In the Type step, choose Passage trigger and click Continue.
- In the Clickmax events list, click the Scheduling category.
- Choose Meeting booked.
- Click Save.
The automation shows up under In this stage, marked Active. That same panel is where you remove it once you no longer need it.
Narrow down which meetings fire the trigger
Once you pick the event, four filters become available. They all start open — leave them as they are to respond to any booked meeting.
There is also an optional outbound webhook: when the card moves, Clickmax posts the opportunity data to the URL you enter. The URL has to start with https://, or Save reports an error. Leave it empty to just move the card.
The other moments of a meeting
The same Scheduling category carries the rest of the meeting lifecycle, and each one can move the opportunity to a different stage:
- Meeting rescheduled — the date or time changed.
- Meeting confirmed — the contact confirmed they're coming.
- Meeting completed — the meeting took place.
- Meeting no-show — the contact missed it.
- Meeting cancelled — the meeting was called off.
The most common setup pairs two of them: Meeting booked on the meeting stage, and Meeting no-show back on the qualification stage.

If it didn't work
- The meeting was booked and the opportunity didn't move: check that the contact has an open opportunity in that pipeline. The trigger moves an existing card and never creates one — won, lost, or missing opportunities are left out.
- The opportunity was already on the stage: nothing happens, and that's expected. The trigger only moves cards sitting somewhere else.
- The opportunity is in another pipeline: the trigger only moves cards from the pipeline where the automation was created.
- Passage rules blocked the move: if the destination stage has a Blocking rule with required fields, a WIP limit, or a direction restriction, the automation respects it and doesn't move the card. Loosen the rule or pick another stage.
- The meeting doesn't match your filters: a narrower Event type, Attendant, Team, or Source filter than you remembered leaves the meeting out. Reopen the automation and check.
