How do I manage many community people at once?
In the community's People tab, tick the people (or everyone shown in the filter) and use Bulk actions to apply the same action to all of them. The list loads more people on its own as you scroll, so it also works for large communities.
Before you start
- A community with people in the People tab.
Steps
- Under Members area → Communities, open the community and go to the People tab.
- To find who you want, type a name or email in the search and, if you like, filter by role. The number of people above the list follows the filter.
- Tick each person's box. Scroll to load more people. The community owner has no box: no bulk action ever reaches them.
- To select the whole filter result, even what hasn't loaded yet, click Select everyone in this filter. Then untick anyone who should stay out. Clear selection undoes it all.
- Click Bulk actions and choose the action.
- When it finishes, a notice shows how many people were updated (or how many emails were queued) and how many were skipped.
What each action does
- Invite again: the person counts as invited again and gets the invite email. See how to invite a person.
- Send access email: sends a reminder with the entry link to people already in the community, without changing role or status.
- Mute, Block and Reactivate: change the status of the selected people.
- Change role: gives everyone the same role (Instructor, Mentor, Moderator or Member).
- Remove: takes the people out of the community. They lose access and this cannot be undone. Confirm in the window that opens.
Limits
- Bulk Invite again and Send access email can be used up to 3 times per hour in each community.
- Emails go out gradually: it can take a few minutes for everyone to receive theirs.
- People who are Blocked or Muted, or in an inactive community, don't get the email and count as skipped.
If it didn't work
- "Bulk email limit reached for this community" appears → you already used the 3 bulk sends of the last hour. Try again later.
- "Could not apply the bulk action" appears → try again. If it persists, select fewer people.
- Some people ended up as Skipped → the email only goes to people with Active status in an active community. The community owner is never part of the action.
