How do I offer calendar times on WhatsApp and book when the contact taps?
Add the Offer calendar times step so the automation sends the contact the next free times of a calendar on WhatsApp as reply buttons. When the contact taps a button, the meeting is booked right away and the automation continues through the Booked exit.
Role: any member with edit access in the workspace.
Before you start
- An individual calendar created in the CRM. Group calendars do not appear in the list.
- The contact must be inside the WhatsApp 24h window and the automation must send through the official WhatsApp number. Otherwise nothing is sent and the automation continues through Unavailable.
Steps
- On the automation canvas, click + and choose Offer calendar times.
- Under Calendar, choose the calendar to offer.
- Under How many times to offer, choose 1 to 3. WhatsApp allows at most 3 reply buttons.
- Under Message, write the text that goes with the times (up to 900 characters, accepts contact variables). The calendar's time zone is appended to the message automatically.
- Under Reply deadline (hours), enter 1 to 24 hours. The default is 24.
- Connect the three exits of the step and save the automation.

How it works at run time
- The automation looks up the next free times and sends the message with one button per time.
- The contact taps a button. If the time is still free, the meeting is created and the contact follows Booked. Tapping the same button again does not create a second meeting.
- If the time was taken in the meantime, the automation sends a new offer with updated times — up to 2 new offers. After that, the contact follows Unavailable.
- Only the buttons of the latest offer book. Free text typed by the contact books nothing; the automation keeps waiting for a tap until the deadline.
Limits and notes
- Each button label shows the weekday and the time in the calendar's time zone.
- The meeting is created with the owner defined by the calendar (or by the calendar's team).
