How do I know whether a custom field is in use before deleting it?
Open Custom fields and click the field: the side panel shows how filled it is and lists the automations, segments, forms, dashboards, reports, schedules and stage rules that depend on it. If that list is empty, archiving is safe.
Role required: an authenticated workspace member.
See the health of every field at once
- Open Custom fields and pick Contacts or Opportunities in the left menu.
- Read the list: every row carries a coloured health dot, a Fill rate column and a Used by column.
- Fields come grouped. Click a group title to collapse or expand it; the header shows how many fields it holds and the group average — a whole group with a low average usually points at the capture step, not at each field.
- In the Base health card, click a band (for example Critical) to filter the list down to those fields. Click again to clear the filter.
- Hover a band to read its criterion, or click the information icon next to the Base health title to see all four criteria at once.
Clicks in the left bar — both the health bands and the groups — replace whatever was filtered instead of adding to it: the list scrolls back to the top already narrowed to what you just clicked. The filters above the list keep combining freely with each other.
The list loads as you scroll, so workspaces with hundreds of fields open without freezing.
Search and filter
Above the list there is the search box and four filters: Type, Health, Groups and Required.
- Search matches the field's name, identifier and description.
- Each filter shows how many fields fall under each option before you pick one.
- With any search or filter active the list stops being grouped and becomes a flat result — so what you searched for is not hidden inside a collapsed group.
- Clear sits next to the filters and returns the list to its initial state.
Reorder fields
Drag a field by the handle on the left to change its position. You can drop it inside the same group or into another group — in which case the field changes group too.
You can only drop into groups that are expanded: a collapsed group has not loaded its fields and is therefore not a drop target. To move a field into a distant group, use the Group field in the settings panel.

See one field in detail
- Click the field in the list. The panel opens on the right, with the field's identity pinned to the left column.
- Use the tabs at the top:
- Settings — label, key, description, group, options and behaviour (required, pinned, filters, unique). The Group field lists the groups that already exist; to create a new one, type the name and pick the create option that appears.
- Usage — fill rate, the last 6 months and the most frequent values.
- Who filled it — the most recent records that stored a value in the field.
- Where it is used — the named list of everything that reads the field, with the count next to the tab name. Click an item to open the segment, automation, form, dashboard, report, schedule or pipeline in a new tab — the field panel stays where it is.
- In the left column, click Fill rate or Used by to jump straight to the matching tab.
Reading the Usage tab
The tab opens with four numbers:
Below the numbers:
- Fill curve — cumulative, month by month, over the last 6 months. A flat line means the field stopped being filled.
- Value range — minimum, average, maximum and sum. Shown only for numeric fields (number, currency, percentage and rating).
- Most frequent values — the ranking of stored values. On multi-select fields each selected option is counted separately, not the combination.
See who filled the field
The Who filled it tab lists the 50 most recent entries for the field, newest first. Each item leads with the stored value; below it sits the contact or opportunity that filled it and where the value came from.
Click the contact's or opportunity's name to open it. The field panel stays open behind it — closing the record takes you back to the tab.
Details:
- On multi-select fields the value shows the selected options separated by commas.
- When a contact has no name, the email or phone shows instead; with none of the three, it reads "Unnamed".
- When an opportunity has no title, its primary contact's name shows instead.
- If the field has more than 50 entries, the line above the list says how many of how many you are seeing.
Where each value came from
Next to every record you see the origin of the entry:
Values filled before this feature read as Origin not recorded — that is not an error, it is the absence of the data. As fields are filled again, the origin starts showing.
Before deleting
When you click Delete field, the confirmation warns about two different things:
- how many records will lose their stored value;
- which resources depend on the field and stop working the way they do today.
If neither warning appears, the field is not in use.

If it did not work
- The panel keeps showing "Loading statistics…": close and reopen the field; the calculation walks every record in the workspace and can take a while on large bases.
- The Used by column says nobody uses it, but you know the field is used: confirm the resource is in the same workspace. Deleted automations and deleted dashboards do not count.
- You cannot find the screen: check whether your user has the required permission in No permission.
