How do I split support across my team?
Support run by a team has two problems: making sure no conversation is left without an owner, and making sure nobody sees what they shouldn't. Both are solved in the same setup.
Before you start
- Role: Owner or Admin to create teams and set up attendants.
- Have your channels connected under Messaging.
- Invite the team first: workspaces and invites.
1. Set the roles before you distribute anything
The workspace role decides how far a person can reach. Attendant is restricted — CRM service and sales, scoped to their own records; they cannot create or edit lists and segments, and without the Coordinator subrole they do not manage pipelines. Check the roles and permissions reference (Portuguese) before inviting anyone — changing it afterwards causes confusion.
2. Build the teams
Group people into teams to match how you actually operate: by channel, by product or by funnel stage. Under Teams you create them with New Team — a team is the unit that receives the distribution.
3. Give each attendant their channels
An attendant only handles the channels they are assigned. When someone "can't see the conversation", that is almost always why. Set it under Channel assignment, which controls which connected accounts that attendant handles in the inbox — see attendant assignment.
4. Connect conversations to opportunities
A conversation with no opportunity never becomes a revenue forecast. Agree with the team at what point a conversation enters the pipeline: build your first pipeline.
Agree how you mark the ones that did not close, too — see lost opportunity. Without a recorded loss reason, you never find out what needs improving.
5. Keep an eye on it
Check regularly for conversations with no attendant, opportunities sitting in the same stage for too long, and leads that never got a first contact.
