  • How do I set up my workspace and bring my team in?

    It is worth spending half an hour on this before you start operating. Reorganising a workspace with people already working inside it is far more expensive than structuring it at the start.

    Before you start

    • Role: Owner or Admin.
    • Have the list of who is coming in, and what each person needs to do.

    1. Decide the structure

    Read workspaces and invites to choose between more projects or more workspaces.

    The point that usually surprises people: your plan's limits are shared across all your workspaces. Creating another one does not multiply the quota.

    2. Create the projects

    A project groups funnels, pages, products and contacts. Split by a real operation — by offer, by brand, by client — not by momentary convenience. See project or workspace.

    3. Decide each person's role before you invite them

    The role decides what a person sees and does. Some are quite restricted: an Attendant cannot write to lists and segments and, without the Coordinator subrole, does not manage pipelines.

    Check the roles and permissions reference (Portuguese) and decide first. Changing a role later usually produces the "a button disappeared" complaint.

    4. Invite

    Use Invite member and choose the role. For support teams, also set the attendant type — see attendant assignment.

    5. Agree the conventions

    An organised tool with a disorganised team is still a mess. Agree from the start:

    • How to name funnels, lists and tags.
    • Who may publish and who only edits.
    • What has to be recorded as an opportunity.

    6. Review periodically

    People leave, roles change. Review access from time to time — see who can do what.

    If it didn't work

    • The invite does not arrive: ask the person to check spam and confirm the address.
    • They joined and see nothing: their role may be restricted — see no permission.
    • You cannot create another workspace or project: check the limits and quotas reference (Portuguese).
