Sending everything to everyone is the fastest way to burn a contact base. Segmenting comes down to understanding three tools that look alike and are not.

    Before you start

    The three tools

ToolWhat it isUpdates on its own?Use it for
TagA label on the contactNo — you add and remove itRecording a fact: source, interest, event
ListA fixed group of contactsNoAn audience built once: sign-ups for one launch
SegmentA saved filterYes, alwaysAn audience that moves: who has not bought, who has gone quiet

The rule of thumb: a tag describes the contact, a segment asks the question. "Came from campaign X" is a tag. "Has tag X and still hasn't bought" is a segment.

    1. Tag deliberately

Agree a tag convention and stick to it. march-launch, March Launch and march_launch become three separate labels and your segmenting stops working.

    2. Prefer a segment to a list

Whenever the criterion can be expressed as a question, use a segment. Contacts join and leave automatically as their situation changes — and that is what stops you sending "you still haven't bought" to someone who bought yesterday.

    3. Combine criteria

Segments get their power from crossing signals: source, behaviour, purchase and inactivity together. Start simple and refine once you have seen the size of the audience.

    4. Check the size before sending

Before you send, look at how many people the segment returns — the segment editor shows a Preview with the matching count, and the segment page shows Estimated contacts. A segment holding your entire base usually means the filter is wrong; one holding three people means the criteria are too tight.

    5. Send

With the right audience in place, follow safe bulk sending.

    If it didn't work

    • The segment comes back empty: loosen one criterion at a time to find which one is blocking it.
    • Someone got the wrong campaign: check whether the criterion uses a static tag where it should be using behaviour.
    • You cannot create a segment: attendant roles have restricted access — see the roles and permissions reference (Portuguese).
